About the job
As Administrative & Operations Officer Liberia you will play a central role in ensuring the smooth and efficient operation of Kvinna till Kvinna’s Liberia office. You will make sure that systems, processes, and logistics run seamlessly, contributing to advancing women’s rights and peacebuilding.
The position combines responsibilities in administration, logistics, procurement, and HR support, and contributes to maintaining a well-functioning, compliant, and secure office environment.
Your work will be varied, from managing day-to-day operations and coordinating with service providers to ensuring compliance with national regulations and supporting staff administration. You will report to the Country Director and act as Officer in Charge in their absence.
Main areas of responsibility
- Oversee day-to-day administrative and logistical operations of the Liberia office.
- Manage contracts, relationships, and correspondence with service providers, landlords, and authorities.
- Maintain office facilities, supplies, and utilities; ensure timely maintenance and repairs.
- Supervise the driver and coordinate vehicle management and fleet reporting.
- Arrange travel, accommodation, and logistics for staff, visitors, and events.
- Ensure proper filing and document management on SharePoint.
- Lead procurement in line with Kvinna till Kvinna’s Financial and Procurement Guidelines.
- Maintain supplier records and transparent purchasing processes.
- Support financial forecasting and budget monitoring with the finance team.
- Manage office assets and inventories.
- Support recruitment and onboarding of new staff.
- Maintain personnel files and trackers (leave, training, timesheets) and coordinate with HR at Head Office
- Liaise with government institutions to secure registrations and permits.
- Prepare and submit reports to relevant ministries and authorities.
- Serve as the office focal point for safety and security.
About you
You are an experienced administrator who enjoys creating order, supporting others, and ensuring systems work efficiently. You are detail-oriented, proactive, and value teamwork. You combine excellent organisational and interpersonal skills with sound judgment and a strong commitment to gender equality and human rights.
Required qualifications
- Bachelor’s degree in business administration, management, or another relevant field.
- At least 4–5 years of experience in administration, procurement, and operational management in a similar role.
- Demonstrated knowledge of HR administration and procurement procedures.
- Proven ability to coordinate with authorities, service providers, and internal stakeholders.
- Strong computer literacy and familiarity with Microsoft 365 (SharePoint, Teams, Excel).
- Excellent English skills; knowledge of local languages is an asset.
Desirable
- Experience working with NGOs or international organisations.
- Familiarity with donor compliance requirements.
- Experience working with safety & security

As part of this global team, you will be based in our Monrovia office, with regular online collaboration across offices and regions. Terms & conditions
This position is offered on a local Liberian contract in line with the Decent Work Act of Liberia. Candidates must have the legal right to reside and work in Monrovia.
The position is full-time, one year with the possibility of extension depending on funding, and includes a probationary period. The start date is no later than 1 January 2026.
We offer a standard 37.5-hour working week with flexible, goal-oriented arrangements. Staff are entitled to a minimum of 25 working days of annual leave, plus all national public holidays, as well as paid sick leave, parental leave, and other leave entitlements. Employees also receive a wellness allowance and access to a weekly wellness hour.
Kvinna till Kvinna provides pension and insurance coverage, including health insurance for employees and dependents, accident and travel insurance, and contributions to the national social security and pension scheme (NASSCORP). Salaries are paid in USD and reviewed annually.
